It takes many volunteers to run a swim meet. Each family is expected to work 5 shifts plus 1 post-season (prelims or Championships) shift during the swim season. One shift is half of a swim meet (events 1-45 or 46-90). If something comes up that prevents you from keeping your volunteer commitment once you’ve signed up it is your responsibility to find a replacement to cover your shift.

Volunteer Position Descriptions

 

 

 

 

POSITION

DESCRIPTION

 

 

MEET REFEREE

This person shall have full authority over the swimming competition.  This includes making deck assignments, reviews protest procedures, maintains control of the running of the competition, confirms or rejects all disqualifications, and assures a fair start for each competitor.  The meet referee is also responsible for the safety of all swimmers.  THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

SCRIBE

This person fills in the disqualification (DQ) slip with the swimmers infraction(s) observed as well as heat, lane, and official making the call, after the DQ has been confirmed by the meet referee.  The meet referee then signs the DQ slip and the scribe hands it to a runner who then takes the DQ slip to the scoring area.  THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

STARTER

Upon a signal from the meet referee, the Starter has full control of the swimmers until a fair start has been achieved.  The Starter calls the swimmers to the blocks, gives the start instructions ("Take your mark"), and helps the swimmer achieve the best start possible.  THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

STROKE AND TURN JUDGE

This person shall ensure fair and equitable competition for all swimmers.  The Stroke and Turn Judge ensures that the rules relating to the strokes for the start, swim, turn, and finish are observed once the swimmer has entered the water.  This person will judge the swimmers in their jurisdiction, verifies conformity with the rules, and calls disqualifications when the rules are broken.  The stroke and turn judge calls only the infractions he/she observes while the swimmer is in his/her jurisdiction.   THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

DQ COORDINATOR

This person is responsible for notifying the swimmer of any infractions (disqualifications) and handles the situation with care and tact, especially when communicating with the younger swimmers.  THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

CLERK OF COURSE

This person shall manage the heating area, working closely with the heating coordinator, starter, and the meet referee to ensure a smooth running meet.    THIS JOB REQUIRES SPECIAL TRAINING PROVIDED BY THE LEAGUE.

 

 

HEATING AREA

This person will line up swimmers in chairs in the heating area behind the lanes before each event.  This person will also make sure swimmers are in the right lanes for their race, this is especially important for the younger swimmers and relay events.

 

 

TIMER

Time is the measure of a swimmer's performance.  The timer's role is to determine how long it took each swimmer to cover the distance of his/her event.  The timer is responsible for making sure the device or stop watch is "zeroed out" before the start of an event, starts the watch or device when the starting signal is given, and stops the watch or pushes the button when any part of the swimmer's body touches the wall at the finish of the race.  There are 3 timers in each lane.

 

 

RUNNER

This person shall facilitate the moving of paperwork from the pool to the scoring area in a timely manner.  The runner is responsible for walking swimmer cards from each lane in each heat to the scoring area as well as taking DQ slips from the scribe to the scoring area.  This person also assists in communications between the Starter, Clerk of Course, and the Scoring area when needed.  

 

 

SCORING

This person shall manage the scoring table to facilitate the timely reporting of accurate results.  This position involves working with the computer, organizing swimmer cards, and sometimes using a calculator to determine results for each of the events and the overall meet.  You must be computer literate to perform this job.

 

 

CONCESSIONS

This person will assist in the selling of food and drinks during the meet.  

 

 

WATER PERSON

This person will run water from the concession area out to our volunteers on the pool deck, such as the timers, starter, meet referee, stroke and turn judges, and runners.  This person is solely responsible for hydrating our volunteers.

 

 

RESTROOM ATTANDANT

This person is responsible  for checking / replenishing the paper and soap supplies in the restrooms and ensure the functionality of the bathroom areas.

 

 

TRASH

This person is responsible for making sure the trash cans are not overflowing and emptying them when they are full of trash.

 

 

CLEANUP

This person is responsible for helping take down the tents, putting tables/chairs back in their original place, and getting the pool back in order after the meet ends.
